Guaranteed and Non-Guaranteed Trips
We totally get it, when you book a trip you need to know if it’s actually happening before you can sort out all the other stuff - flights, time off work, pet care, planning what to pack. The last thing you want is to be left hanging, wondering if your adventure is going ahead or not.
Although the bulk of our adventures are guaranteed to run, some need minimum numbers before we can lock them in. This page explains the difference between guaranteed and non-guaranteed trips, when you'll hear from us, and what happens on the rare occasion that your date doesn't go ahead.
If you've got questions or want to know how many people have booked your date, just email us - we're always happy to share where things are at.
Guaranteed to run
Most of our trip dates have a tick next to them to show it’s guaranteed to run. (Like this ✔️)
This means:
The date is definitely happening
Minimum numbers have already been met (or aren't required)
You can confidently book flights and make travel plans
If you see a tick, you're good to go - book your flights, your adventure is happening!
Non-Guaranteed trips
If a date doesn't have a tick, it means we need a minimum number of guests before we can confirm it to go ahead.
For these dates:
The date should still be happening, we just can’t guarantee it yet
We haven’t yet met the number of guests needed confirm the adventure (this varies by trip)
Do not book your travel
Non-guaranteed trips are usually our brand new adventures or newly added dates on an already popular trip.
We'll confirm whether the trip is running 30 days before departure, although we usually get in touch well before then with good news. Until you hear from us though, please hold off on booking your travel.
On the very rare occasion that we cancel a trip, you are entitled to a full refund.
If you'd like to know how close a date is to being confirmed, just drop us an email, We're always happy to share where things are at.
Why do some trips need minimum numbers?
A big part of our adventures are about creating connections and shared experiences with others in your group, so often a certain number of guests are needed to deliver the trip and group dynamic we promise. We also work with small, local providers who commit guides, accommodation and logistics in advance, therefore we need to know there's enough interest to make it work for everyone.
On brand new trips, we sometimes also need to see demand before everything can be confirmed. Once a trip proves popular, future dates are often guaranteed much earlier.
What happens of a trip doesn’t run?
If a trip doesn't reach minimum numbers:
We'll let you know at least 30 days before departure
You'll receive a full refund, automatically
Your final balance is due 45 days before travel. This ensures everyone is committed and helps us confirm final logistics with our local partners. If we have to cancel after you've paid in full, you'll still get your entire trip payment back.
We know how frustrating uncertainty can be, and we do everything we can to avoid cancellations.
Before you book travel
If your date has a tick - Your trip is guaranteed. You're safe to book flights.
If your date doesn't have a tick - Please wait for confirmation from us before booking flights. We'll give you a clear yes or no 30 days before departure (if you haven’t heard from us before then)..
FAQs
-
Look for the tick next to your date. If it's there, the trip is happening. No tick means we're still waiting to hit minimum numbers, but we'll confirm one way or the other 30 days before departure. You'll also get an email from us confirming the status of your trip, so you don't have to keep checking in.
-
You'll hear from us at least 30 days before your departure date. We'll email you as soon as we hit our minimum numbers (which often happens well before the 30-day mark), or we'll let you know if we need to cancel. Either way, there will be no last-minute surprises.
-
We'd strongly suggest waiting until you get confirmation from us. If you book early and we have to cancel, you'll get your full trip payment back, but we can't cover flight costs. Save yourself the stress and hold off until you see that tick or get the green light from us.
-
You'll get your full trip payment refunded, but unfortunately we can't reimburse flight costs. This is why we say hold off on booking travel until your date is confirmed. We know it's tempting to grab a deal, but it's not worth the risk.
-
Rarely. Most of our dates fill up and go ahead without issue. But we'd rather be transparent about the possibility than leave you wondering. New trips and freshly added dates are more likely to need time to build numbers, but once a trip's been running for a season or two, cancellations are very uncommon.
-
Dates get guaranteed once we've hit our minimum numbers, or if we've decided to run the trip regardless (usually on our most popular adventures). You'll often see this on established trips where demand is strong. New trips or newly added dates typically start without guarantees until bookings come in. Once we see the interest, future dates get guaranteed much earlier.
-
Absolutely. If we cancel your date, we'll offer you the option to switch to another date or a different trip entirely (as long as it works with your schedule and the price is similar). Or you can take the full refund — whatever works best for you.
-
We get it, waiting can be stressful, especially if you're trying to plan around work or other commitments. Drop us an email and we'll have an honest conversation about where things stand. Sometimes we can help you switch early, but if your move would drop the trip below minimum numbers and put everyone else at risk, we'll need to ask you to wait a bit longer. We'll always be straight with you about what's possible.
-
Yes. If we cancel, you'll get your full trip payment back within five business days. You don't need to chase us, we'll sort it as soon as we've confirmed the cancellation.
-
Always. Just drop us an email or book in a call and we'll tell you exactly where things stand. No secrets, no faff. If you're trying to decide whether to book or wait, knowing the numbers can help.
