Booking Terms & Conditions

These Booking Conditions together with any other written information we brought to your attention before we confirmed your booking, form the basis of contract between Mr Jake Thompsett trading as JT Expeditions of 3 Gwyndy Road, Undy, Caldicot, Monmouthshire, NP26 3QE, and the participant booking the arrangements.

By confirming a booking with JT Expeditions, you understand and expect the terms set out within this documentation.

(i) “you/participant” include any paying participant booking a course/workshop/event/expedition (ii) “us/we/our”includeJTExpeditions.
(iii) “event/arrangements/booking” includes the associated course/workshop/event/expedition


1. Booking and Paying For the Arrangements

A booking is made with us when:

  1. a)  you pay us the deposit or appropriate fee stated at the time of booking

  2. b)  we receive a signed copy of this “Event Contract and Booking Terms”

Details of any remaining balances and due dates are included at the time of booking. If full payment is not received by the balance due date, we reserve the right to treat your booking as cancelled by you, in which case the cancellation charges set out in Clause 4 will apply.

2. Cutting the Arrangements Short

If you are forced to return home early or you choose to cut the event short, we cannot refund the cost of any services that you have not used. If you cut short the arrangements and return home early in circumstances where you have no reasonable cause for complaint about the standard of services provided, we will not offer you any refund for that part of the arrangements not completed, or be liable for any associated costs you may incur.

3. Changes by You

If you wish to change any part of your booking arrangements, you must inform us in writing as soon as possible. Where we can meet a request, all changes will be subject to payment of any applicable extra costs incurred. If you do not wish to proceed with the original booking we will treat this as a cancellation by you in which case cancellation charges set out in Clause 8 will apply.

4. If You Cancel

If you cancel the confirmed booking you must notify us in writing or email. This cancellation will only take effect when it is received in writing or email by us and will be effective from the date on which we receive it. Upon cancellation, the appropriate charges will apply:

16 days or more | 50% of total fee

15 - 8 days | 70% of total fee

Less than 8 days | 100% of total fee

5. If JT Expeditions Makes a Change or Cancels

Given the nature of adventure courses/workshops/events/expeditions you accept, understand and acknowledge that it is necessary to adopt a flexible approach, allowing for the possibility of alternative arrangements to be necessary. The itinerary as given for each arrangement must therefore be taken as an indication only and not as a contractual obligation on our part to be followed by the letter.

You should also appreciate that the event may be subject to alterations without prior notice due to local circumstances or Force Majeure (see Clause 10). Accordingly, and for the avoidance of doubt, we shall be entitled to make such reasonable alterations to the advertised details of the event as we deem necessary. Most alterations to the arrangements will be minor and while we will do our best to notify you of any changes as soon as reasonably possible, we will have no other liability to you.

Very rarely, we may also be forced by "force majeure" (see Clause 10) to change or terminate the arrangements after it commences. If this situation does occur, we regret we will be unable to make any refunds to you, or pay you any compensation or meet any costs or expenses you incur as a result.

We will not pay you any compensation if we make a change or cancel as a result of your failure to make full payment on time or where the change(s) or cancellation by us arises out of alterations to the booking requested by you.

6. Force Majeure

Except where otherwise expressly stated in these booking conditions we will not be liable or pay you compensation if our contractual obligations to you are affected by any event which we or the supplier(s) of the service(s) in question could not, even with all due care, foresee or avoid. Force Majeure can include, but is not limited to war, threat of war, civil strife terrorist activity and its consequences or the threat of such activity, riot, the act of any government or other national or local authority including port or river authorities, industrial dispute, lock closure, natural or nuclear disaster, fire, chemical or biological disaster and adverse weather, sea, ice and river conditions and all similar happenings outside our or the supplier(s) concerned’s control.

7. Special Requests

Please make any special requests to us in writing as soon as possible. We cannot guarantee that they will be fulfilled but we will make every effort. The fact that a special request has been noted on your confirmation invoice or any other documentation is not confirmation that the request will be met. Failure to meet any special request will not be a breach of contract on our part unless the request has been specifically confirmed. We do not accept bookings that are conditional upon any special request being met.

Disabilities and Medical Problems

We are not a specialist disabled expedition and event company, but we will do our utmost to cater for any special requirements the participants may have. We must be made aware of any details of medical problems or disabilities which may affect the participants stay in the Medical Questionnaire. We may require the participant to produce a doctor’s certificate certifying that they are fit to participate in the event.

9. Complaints

Please inform the arrangements co-ordinator or the instructors immediately of any complaints. If the problem cannot be resolved and you wish to complain further, written notice of your complaint must be sent to the address in these Booking Conditions within 28 days of the end of the event. Failure to follow the procedure set out in this clause may affect our ability to investigate your complaint, and will affect your rights under this contract.

10. Participant Behaviour

All Details of event participant behaviour requirements are provided in the associated “Medical Form”. By agreeing to and completing this form you agree to the conditions set out within this document and the “Medical Form".

11. Our Responsibilities:

(1) We will not be responsible or pay you compensation for any injury, illness, death, loss, damage, expense, cost or other claim of any description if it results from:

  1. a)  the act(s) and/or omission(s) of the person(s) affected;

  2. b)  the act(s) and/or omission(s) of a third party unconnected with the provision of the

    services contracted for and which were unforeseeable or unavoidable; or

  3. c)  unusual or unforeseeable circumstances beyond ours or our supplier(s) control, the consequences of which could not have been avoided even if all due care had been

    exercised; or

  4. d)  an event which either ourselves or suppliers could not, even with all due care, have

    foreseen or forestalled.

  5. e)  loss of and/or damage to any personal possessions and money of participants.

  6. f)  Claims not falling under (e) above and which don’t involve injury, illness or death

(2) It is a condition of our acceptance of liability under this clause that you notify any claim to ourselves strictly in accordance with the complaints procedure set out in these conditions.

(3) Please note, we cannot accept any liability for any damage, loss or expense or other sum(s) of any description: (a) which on the basis of the information given to us by you concerning your booking prior to our accepting it, we could not have foreseen you would suffer or incur if we breached our contract with you; or (b) relate to any business.

12. We will not accept responsibility for the act(s) and/or omission(s) of any staff member related to the

Nature of the Arrangements and Acceptance of Risk

Your booking is accepted on the understanding that you:

  1. a)  Are aware that, due to the nature of the arrangements, there are certain dangers and risks inherent in the performance of the arrangements, some of which may include the possibility of physical exertion, weather extremes, discomfort, loss of or damage to property

  2. b)  Accept that you must be of good health in order to complete the arrangements. If, in our reasonable opinion, you are not in sufficiently good health to take part in the arrangements or if your health deteriorates during the course of the arrangements so that your own health and safety (or the health and safety of others) is sufficiently endangered by you continuing to take part in the arrangements, you may be asked to cease your involvement in certain activities during the arrangments.
